Keeping QuickBooks Desktop Syncing Overnight and on Weekends
Why QuickBooks Web Connector stops overnight — sleep, Windows updates, sign-outs and pop-ups — and a checklist to keep it syncing 24/7.
Web Connector syncs fine during the day, then Monday morning there's a weekend of orders that never reached QuickBooks. It's one of the most common complaints — and almost always one of these causes.
Why it stops when nobody's around
- The PC went to sleep. Windows' default power settings put desktops to sleep after a while.
- Windows Update restarted the PC. After a restart, Web Connector and QuickBooks don't reopen on their own unless you set them to.
- Someone signed out. Web Connector runs inside a signed-in Windows session.
- A pop-up is waiting. QuickBooks update notices, backup reminders and permission prompts block syncing until someone clicks them.
- Power or internet dropped and the PC didn't come back cleanly.
The always-on checklist
- Sleep: Never. Settings → System → Power & sleep → Sleep: Never.
- Restart on power loss. In the PC's BIOS, enable Restore on AC power loss if available.
- Start Web Connector with Windows. Add it to the Startup folder — see Auto-Run setup.
- Schedule updates. Set Windows active hours and install updates during the week, not just before a weekend.
- Turn off QuickBooks reminders you don't need, such as automatic update prompts and backup reminders on that machine.
- Allow access when QuickBooks is closed, in Integrated Applications preferences.
- Use a UPS (battery backup) for the QuickBooks PC if power is unreliable.
Get told when it stops
No checklist prevents everything. The best safety net is an alert: SyncGuard notices within minutes when the PC goes offline or Web Connector stops syncing, and emails or texts you — even at 2 a.m. on a Saturday, if you want it to.
