How to Set Up QuickBooks Web Connector Auto-Run (and Keep It Running)

QuickBooks Web Connector only syncs on its own if three things are true: the application is set to Auto-Run, Web Connector itself is running, and QuickBooks allows access to the company file. Here's how to set up all three.

Step 1: Turn on Auto-Run

1. Open QuickBooks Web Connector.
2. Find the application in the list.
3. Tick the Auto-Run checkbox.
4. In Every_Min, enter how often to sync — 15 to 60 minutes suits most businesses. Very short intervals can overlap and cause errors.

Step 2: Start Web Connector with Windows

Auto-Run only works while Web Connector is open. If the PC restarts, it needs to start again:

1. Press Windows + R, type shell:startup and press Enter.
2. Create a shortcut to QuickBooks Web Connector in that folder (copy it from the Start menu).
3. Restart the PC and confirm the Web Connector icon appears in the tray.

Web Connector runs inside a signed-in Windows session, so a user must be signed in on that PC. Many businesses use a dedicated Windows account that stays signed in on the QuickBooks machine.

Step 3: Allow access when QuickBooks is closed

1. Open QuickBooks as Admin.
2. Go to Edit → Preferences → Integrated Applications → Company Preferences.
3. Select the application and click Properties.
4. Tick Allow this application to login automatically and choose the QuickBooks user it should log in as.

Step 4: Keep the PC awake
