QuickBooks Web Connector Not Syncing? 9 Fixes That Actually Work
QuickBooks Web Connector stopped syncing? Work through these 9 fixes, from Auto-Run and pop-ups to log files and passwords, in the order that solves it fastest.
When QuickBooks Web Connector stops syncing, orders, invoices and inventory quietly stop reaching QuickBooks Desktop. Web Connector doesn't send alerts, so most people find out days later when a customer or a report looks wrong.
Here are the fixes that solve it most often, in the order worth trying them.
1. Check that Web Connector is actually running
Web Connector is a normal Windows program. If someone closed it, restarted the PC, or Windows installed updates overnight, it simply isn't running.
- Look for the Web Connector icon in the system tray (bottom-right, near the clock).
- If it's not there, open it from the Start menu: QuickBooks Web Connector.
- To make it start with Windows, see How to set up Web Connector Auto-Run.
2. Make sure Auto-Run is ticked
Each application in Web Connector has its own Auto-Run checkbox and Every_Min interval. If Auto-Run is off, that app only syncs when someone clicks Update Selected. Tick Auto-Run and set a sensible interval, usually 15–60 minutes.
3. Look for a QuickBooks pop-up waiting for someone
This is the most common cause of a sync that seems frozen. A dialog inside QuickBooks — an update reminder, a backup prompt, a "do you want to allow access" question — blocks Web Connector until someone clicks it. Bring QuickBooks to the front and close anything waiting.
4. Check the status column for an error code
The Status column in Web Connector usually tells you what went wrong. Common ones:
- QBWC1085 — a problem with the log file. See How to fix QBWC1085.
- QBWC1039 — a problem adding the application. See QBWC1039 causes and fixes.
- QBWC1012 — authentication failed. See How to fix QBWC1012.
5. Re-enter the password
If the app you sync with changed its password or token, Web Connector keeps sending the old one. Click the Password field for that app, type the current password, press Enter and choose Yes to save it.
6. Confirm QuickBooks allows access
In QuickBooks Desktop, sign in as the Admin and open Edit → Preferences → Integrated Applications → Company Preferences. Find the application, make sure it's allowed, and open Properties to check it can access the file even if QuickBooks isn't running, logging in as the right user.
7. Check the PC isn't sleeping
Web Connector can't sync from a computer that's asleep. In Windows Power & sleep settings, set sleep to Never on the computer that runs Web Connector. See keeping QuickBooks syncing overnight for the full list.
8. Read the Web Connector log
The log lives at C:\ProgramData\Intuit\QBWebConnector\log\QWCLog.txt. Open it in Notepad and scroll to the bottom — the latest entries usually name the exact problem, including the web service URL it couldn't reach.
9. Restart in the right order
If all else fails: close Web Connector, close QuickBooks, open QuickBooks and the company file first, then open Web Connector and click Update Selected.
Stop finding out days later
Every fix above starts with noticing the sync stopped. SyncGuard watches Web Connector on every PC and emails or texts you within minutes when it goes offline, stalls or logs an error — and again when it's fixed.
If you run sales or a warehouse on QuickBooks Desktop, a reliable sync matters even more. Fulfillt Sales and Fulfillt WMS both sync orders and inventory with QuickBooks, and SyncGuard makes sure that link stays up.
