Web Connector Passwords and Unattended Mode: Keep QuickBooks Syncing
How to save the Web Connector password, let apps sync when QuickBooks is closed, and fix the prompts that stop unattended syncing.
Most Web Connector setups are meant to run without anyone at the keyboard: overnight, at weekends, or on a server nobody signs in to. Two settings make that work: a saved password and unattended access.
The Web Connector password
Each app in Web Connector has its own password, set by the app (not your QuickBooks login). Web Connector sends it to the app every time it syncs.
- Open Web Connector.
- Click in the Password column for the app and type the password from the app's QuickBooks settings.
- Press Enter and click Yes when asked to save it.
If it isn't saved, Web Connector asks for it on every sync and unattended syncing fails, often with QBWC1012. If you've lost the password, reset it in the app and download a fresh .qwc file.
Letting apps sync when QuickBooks is closed
By default an app can only sync while someone has the company file open. To allow unattended syncing:
- Open QuickBooks as the Admin in single-user mode.
- Go to Edit → Preferences → Integrated Applications → Company Preferences.
- Select the app and click Properties.
- Tick Allow this application to read and modify this company file and Allow this application to login automatically, and choose the Admin user (or a user with full access).
- Click OK.
Web Connector can now open the company file in the background on schedule.
Things that still stop unattended syncing
- Someone has the file open in single-user mode on another computer
- A QuickBooks pop-up such as an update prompt, a backup reminder or a login screen waiting for a click
- Windows signed out or restarted, and Web Connector didn't start again
- The Admin password changed in QuickBooks, so automatic login fails
- The PC went to sleep
Our guide to keeping QuickBooks syncing overnight covers sleep settings and auto-start in detail.
Know when unattended syncing stops
The whole point of unattended mode is that nobody's watching, which is also why failures go unnoticed. SyncGuard watches each app in Web Connector and alerts you by email or text when one stops syncing, then again when it's back.
